Cancellation Policy

At Blackwood Retreat, we understand that sometimes plans change. We've designed our cancellation policy to be fair to both our guests and our business operations.

Policy Type: Moderate
Full refund for cancellations made within 48 hours of booking, if the check-in date is at least 5 days away. After that, guests can cancel up to 5 days before check-in for a full refund.

Standard Cancellation Terms

Long-term Stay Cancellations

For reservations of 28 nights or more:

  • First month: Standard cancellation policy applies
  • After first month: 30 days notice required for full refund of remaining nights
  • Less than 30 days notice: Next 30 days are non-refundable

How to Cancel

  • Log into your Airbnb account
  • Go to "Trips" and select your reservation
  • Click "Change or Cancel"
  • Follow the cancellation process
  • You'll receive an email confirmation of your cancellation

Refund Processing

  • Refunds are processed immediately upon cancellation
  • Funds typically appear in your account within 5-10 business days
  • Processing time depends on your payment method and financial institution
  • Airbnb service fees are refunded according to Airbnb's policies

Exceptions & Special Circumstances

Force Majeure / Extenuating Circumstances

We may provide full refunds for cancellations due to:

  • Natural disasters affecting the property or travel route
  • Government-imposed travel restrictions
  • Serious illness or injury (medical documentation required)
  • Death of immediate family member (documentation required)
  • Military deployment or jury duty (documentation required)

Property Issues

Full refund guaranteed if:

  • Property is uninhabitable due to damage
  • Essential amenities are non-functional and cannot be repaired
  • We need to cancel due to maintenance issues
  • Double booking occurs (our error)

Holiday & Peak Season Policy

During peak seasons and holidays, stricter cancellation terms may apply:

  • Christmas/New Year (Dec 20 - Jan 5): 14 days notice required for full refund
  • Easter Week: 10 days notice required for full refund
  • Summer Peak (July-August): 7 days notice required for full refund

Modification Policy

  • Date changes subject to availability
  • Modifications treated as new bookings for pricing
  • Downgrades in stay length follow cancellation policy for removed nights
  • Upgrades always permitted subject to availability

Early Departure

  • No refunds for early departures
  • Unused nights are non-refundable
  • Exception: Documented emergencies (case-by-case basis)

Travel Insurance

We strongly recommend purchasing travel insurance to protect your investment. Travel insurance can cover:

  • Trip cancellation for covered reasons
  • Trip interruption
  • Medical emergencies
  • Lost or delayed baggage

Group Bookings

For group bookings (6+ guests):

  • 14 days notice required for full refund
  • 7-13 days notice: 50% refund
  • Less than 7 days: No refund
  • Partial group cancellations not permitted

Weather Policy

Weather-related cancellations:

  • Regular weather conditions: Standard policy applies
  • Official weather warnings: Full refund offered
  • Road closures due to weather: Full refund or date change
